Trip Participation – Terms and Conditions

MEMBER PARTICIPATION TERMS:

  • Member Participation:  In order to participate in TBC Club sponsored trips and trip activities TBC Members must be registered on the trip.

  • Discretion to Refuse a Trip Application: The trip leader or TBC executive may refuse a trip application from any member who they consider poses undue risk to the club, or is known to disrupt or impair the full and safe enjoyment of a trip by other members.

  • Discretion to Dismiss a Trip Participant: The trip leader or TBC executive has the right to dismiss any participant at any time during a trip, without a refund, who, in his or her sole opinion, acts without regard for the safety of others, does not adhere to the club code of conduct or policies, disrupts or impairs the full and safe enjoyment of a trip by other participants, or who otherwise fails to comply with reasonable requests made by the trip leader or TBC suppliers. A participant is dismissed following verbal or written notice from the trip leader or TBC executive. Following notice, the participant is barred from further involvement in any part of the trip and forfeits receipt of related services including but not limited to transportation, accommodation, meals and the trip package. A dismissed participant is solely responsible, at his or her own expense, for arranging return transportation, accommodation and services.

  • Conduct while on a Trip: While on a trip participants must abide by all Club policies, membership procedures and the code of conduct. This includes but is not limited to, this Policy, Club social media policy and ride safety procedures.

  • Liability Release: By participating in this trip the member (their heirs assigns, executors and/or administrators) fully and finally release Toronto Bicycle club and it’s executive members, event organizers and contractors from any and/or all responsibility or liability for any loss of or damage to their personal property, or any injury or death arising in any manner whatsoever (including by way of negligence of any other person).  

TRIP PARTICIPATION CONDITIONS:

Documentation:

  • Personal ID and Insurance: Trip participants must carry proof of their personal identity and emergency contact information for the full duration of the trip.
  • Insurance: Trip participants are responsible for arranging their own health insurance.  Insurance documents should be carried by the participant at all times during the trip.
  • Travel documents: For out of country and US trips, participants must have proper boarding and entrance documents. TBC will not be responsible for members refused boarding or entry due to documentation, health, or other issues.
  • Emergency Contact: Trip participants must ensure the emergency contact named on their trip registration form is aware of their travel and has copies of their insurance and travel documents. In the event of an emergency, the member, or their emergency contact, is responsible for notifying and working with the member’s insurance company. They are also responsible for making any arrangements should the participant need or decide to leave a trip early.

Accommodation:

  • Double occupancy:  Trip organizers will attempt to match roommates as requested.  If we cannot find a roommate for you by the registration cutoff date (typically 7 days before the trip), you may be required to pay the single room supplement (if available), or withdraw from the trip and accept a full refund.
  • Single room option: Some trips offer a single room option for those who do not have a roommate. Single room options may not be used as a back door to bring a second person onto a trip and circumvent the club’s trip signup process.
  • Check Out Policy: Trip participants must clear all room charges and be checked out of their rooms by the designated time. Any room charges, late check-out, or damage fees are the member’s responsibility.
  • Dietary Requirements: Trip participants who have special dietary requirements should make their own arrangements in case the hotel cannot provide it. TBC cannot be held responsible if requests cannot be fulfilled.

Transportation and Parking:

  • Trip participants must arrange their own transportation to/from the designated meet location. TBC trip organizers will try to match members who offer carpooling, but, are not obliged to make these arrangements.
  • TBC is not responsible for trip participants who miss transportation at any time during a trip, at departure points, rest stops, transfers, or shuttles. Should this occur, the participant is responsible for any cost related to re-joining the trip or returning home and will not be reimbursed by the club.
  • Where parking is requested, trip participants will pay their own parking fees and assume all risks.
